This article outlines the process for administrators to review students' reporting spaces and mark them as reviewed within SpacesEDU. This feature helps align with schools' reporting requirements and streamlines the approval process for year-end reporting.
Enabling and Accessing Formal Admin Review
The Formal Admin Review option is only available to districts licensing SpacesEDU Pro with Reporting
The option must also first be turned ON at the district level by the SpacesEDU support team.
If you're a district administrator licensing Reporting Spaces and you would like to enable the admin review option, please contact your partner success representative, or reach out to us with the messaging option at the corner of your screen.
After the formal review option has been enabled at the district level, a district or school 'Super Admin' will need to also enable the option for any schools you wish to have access to start marking reporting spaces as reviewed.
Once enabled, administrators can access the option to Review Reporting Spaces from the Dashboard, or the Classes section.
Access by Account
Administrators with Full Permissions, or 'Super Admin' accounts, are the only ones that can toggle the Formal Admin Review option ON.
The option can be enabled or disabled by Super Admin accounts at either the school or district level.
All Administrators at the school or district level can access the Review Reporting Spaces option, and mark reporting spaces as reviewed.
All administrators also have access to view which students have been reviewed in each reporting space, and the percentage of spaces reviewed in each class.
One admin review is enabled at the school level, Teachers can see the review status:
Each individual student will be updated to 'Reviewed by Admin' once their reporting space has been marked as reviewed by an administrator
The Reporting Space panel will be updated from Pending Admin Review to show the number of students reviewed, once at least one student is marked as reviewed. When all students are reviewed, the space is updated to 'Admin Review Complete.'
Reviewing Reporting Spaces and Tracking Completion
Once you've clicked the Review Reporting Spaces button as an administrator, you'll see a list of classes, with some key details:
Class Name
Teachers
For classes with one teacher, you'll see the teacher's name listed
For classes with more than one, you can hover over the i icon to see the teacher names
Grade(s)
The number of students Reviewed and Pending Review
You can also see the percentage of students reviewed along the right-hand side, when at least one student has been marked as reviewed
This same button is marked Start Review when no students have been reviewed yet
To begin reviewing submissions:
Click the button on the right (labelled either 'Start Review' or % reviewed)
After reviewing the content of the reporting space, click either:
Group Actions
From the main Reporting Space Review List, administrators can also check off multiple classes and apply group actions.
Mark as Reviewed will mark all spaces in any selected classes as reviewed.
Download Reporting Spaces for all selected classes.
This will trigger a download of all the selected Reporting Spaces, grouped into a single PDF - this will include all areas of learning, teachers, and summary statements.
The download is generated in the background, and the admin who requested it will be sent an email and a notification in their account when it is ready.
The file should download automatically if you're still logged in, or you can click the link in your email or in the notification to start it manually. Only the admin who requested the download will be able to access the file.
Reset Review will reset the admin review status for any previously-reviewed spaces. Ensure that any download request has completed and you've saved the file before resetting review.
You can also click the Reset Reviews button at the top right to reset all classes for that school, without needing to select each one.
