How can I archive a class?

Archiving a class is the recommended method for managing completed courses or end-of-year transitions. Unlike deleting, archiving preserves all student work and teacher feedback while removing the class from your active dashboard.


Before You Start


  • Review Class Limit: Teachers are limited to 20 active classes. Archiving helps you stay within this limit.
  • Verify Licensing: Confirm if your school uses SpacesEDU Pro to determine student access levels after archiving.
  • Check Space Settings: Ensure spaces you want students to see (in Pro) are set to Visible or Active before archiving.
  • Notify Co-Teachers: Archiving a class affects all linked teachers and students simultaneously.

Follow these steps to move a class to your archive:


  1. Click the Home button in the top left corner of your dashboard.
  2. Locate the class you wish to archive and click the three dots (menu button).
  3. Select Archive.


💡 Tip: If you are using the free version of SpacesEDU and want students to retain access to their work, consider leaving the class active but disabling student posting and commenting in the Space Settings.


What Happens When a Class is Archived?


Archiving changes the status of the class for all participants.

Students can no longer view the class or its content.

Student Access (Pro)

Students can view posts via the All Work Feed (if enabled).

New Contributions

Restoration

Teachers can Unarchive the class at any time to restore full access.


Automatic Archiving Protocols


Archiving schedules vary based on your account type:


  • SpacesEDU Free: Classes are never automatically archived.
  • SpacesEDU Pro:
    • A survey is sent to district leads in June regarding summer archiving.
    • If no response is received, classes are automatically archived in late August.
    • District leads can proactively opt-out by contacting their SpacesEDU implementation specialist.



Deleting a Class


Deleting a class is a permanent action that results in the total loss of student work. We strongly advise archiving instead. If you must delete a class, follow this specific sequence:


  1. Open the People tab and remove all students and co-teachers.
  2. Archive the class using the steps above.
  3. Click the Archived link at the top right of your Classes page.
  4. Click the three dots on the class and select Delete Class.
  5. Confirm the deletion.


Good to Know


  • Unarchiving: To restore a class, go to the Archived section, click the menu button for the class, and select Unarchive.
  • All Work Feed: For Pro users, the All Work Feed includes work from archived classes and classes a student was removed from, but not deleted content.
