How can I update Space settings?

This article explains how to configure access and visibility settings for Class, Group, and 1:1 Spaces in SpacesEDU.


Before You Start


  • By default, all spaces are set to the highest level of privacy (Hidden).
  • Settings control what students and family members can see and do in each space.
  • You can update settings at any time without affecting existing posts.


How to Update Space Settings


  1. Click Spaces
  2. Click the menu button (3 dots) on the space you want to edit
  3. Click Edit Space Settings
  4. Click either Student Access or Family Access
  5. Choose Hidden, Visible, or Active depending on the level of access you want
  6. For Visible and Active, toggle specific options on or off according to your preferences
  7. Click Save


Understanding Access Levels


Level

What it means

Hidden

The space is not visible. Students and/or family members cannot see or post to it.

Visible

Students can see the space but cannot post or interact with other students' posts. Family members can only be given Visible access, with optional ability to interact with their linked student's posts.

Active

Students can post to the space. Depending on the space type and options selected, they may also see and interact with other students' posts.


Privacy note: Family members never have access to posts that don't include their linked student. Comments from other families are displayed as "Anonymous – Message not visible." Family members linked to the same student can see each other's comments.


Class Spaces


Default settings:

  • Students see their own posts, their peers' posts, and their teachers' posts
  • Students cannot react to or comment on each other's posts
  • Students cannot view other students' or teachers' comments on each other's posts
  • Family accounts cannot see content in the space until enabled by the teacher


Optional settings you can enable:

  • Students can react to each other's posts
  • Students can view other students' comments on each other's posts
  • Students can comment on each other's posts
  • Students can view teacher comments on each other's posts
  • Family members can view the Class Space
  • Family members can react to and comment on their student's posts

💡 Tip: When students are allowed to view each other's posts, a list of student names appears on the left side of their screen for filtering. To hide this list, disable the option for students to view each other's posts.


Group Spaces


Default settings:

  • Group Spaces are Hidden from students and families until access is enabled

Configurable options:

  • Make the space Active for students (allows them to see and post)
  • Make the space Visible for family members, with optional ability to react to or comment on their linked student's posts


Editing students in a Group Space:

  1. Click Spaces
  2. Click the 3 dots on the space
  3. Click Edit Students
  4. Click the pencil icon to rename the group
  5. Click the X next to a student's name to remove them
  6. Click Add Group to create another group (only available if unassigned students remain)
  7. Click Save


💡 Tip: To delete a group entirely, click the trash can icon in the Edit Students view.



1:1 Spaces


Default settings:

  • 1:1 Spaces are Hidden from students and families until access is enabled

Configurable options:

  • Make the space Visible or Active for students
  • Make the space Visible for family members, with optional ability to react to or comment on their linked student's posts


Editing students in a 1:1 Space:

  1. Click Spaces
  2. Click the 3 dots on the space
  3. Click Edit Students
  4. Check or uncheck the box next to each student's name to add or remove them
  5. Click Save


Good to Know


  • You can change access levels at any time. Existing posts are not affected.
  • Family access is always limited to Visible. They never see posts that don't involve their linked student.
  • If the Add Group button is greyed out, all students are already assigned to a group.
  • If students shouldn't see each other's names, disable the option for viewing each other's posts.
